PDF Merge — User Guide
Automatically fill PDF forms from Excel or CSV data — one filled PDF per row.
Load Files
PDF Form — Select an interactive PDF that has fillable fields. The app detects all form fields automatically and shows them as a list.
Excel / CSV Data — Select your spreadsheet. The first row must be column headers; every subsequent row produces one filled PDF. If the file has multiple sheets, choose the correct one from the dropdown.
Map Fields
Each fillable field in the PDF appears in the table on the right. Use the dropdown next to each field to choose which spreadsheet column should fill it. Leave a field set to — skip — to leave it blank in every output PDF.
Fields are highlighted in the PDF preview — click a highlight or a table row to select that field. The app auto-suggests matches when the field name closely matches a column header.
Output filename — Set a prefix (e.g. Renewal_) and optionally pick a column whose value is appended to each filename (e.g. Renewal_Smith J.pdf).
Generate PDFs
Choose an output folder, then click Generate PDFs. One filled PDF is saved per data row. A progress bar tracks the generation and a summary confirms how many files were saved and where.
Templates
Templates save a PDF and its field mappings together so you can skip the mapping step next time. They are stored as .effritpl files that bundle the PDF and mappings into a single shareable file.
Creating a template
- From the home screen click Manage Templates below the PDF Merge card.
- Click + New Template.
- Select the PDF form.
- Upload the workbook — column headers are populated automatically.
- Map each PDF field to the correct column.
- Give the template a name and click Save Template.
Sharing a template
- In Manage Templates, click Export… on the template card.
- Save the
.effritplfile and share it (email, Teams, etc.). - The recipient opens their app, goes to Manage Templates, and clicks Import .effritpl….
- The template appears in their list — PDF included, no paths to configure.
Using a template
- Open PDF Merge (Step 1).
- Select a template from the Saved template dropdown and click Apply.
- Load your data workbook as normal.
- A warning appears if any mapped columns are missing from the workbook — those fields will be left blank.
- Proceed to Step 2 to review or adjust the mappings, then generate.
Editing a template
- In Manage Templates, click Edit on the template card.
- The template builder opens with the PDF and column headers already loaded from the saved template.
- You can select a new workbook to update the headers, or proceed with the existing ones.
- Click Next: Map Fields to review or adjust mappings and filename settings.
- Update the template name if needed, then click Update Template.
- The original template file is overwritten — no duplicate is created.
Tips
- Checkbox fields — use
true,1,yes,x, oronin the spreadsheet to tick a checkbox; anything else leaves it unticked. - Column header matching — the app auto-suggests mappings when a PDF field name and column header are similar (ignoring case, spaces, and punctuation).
- Multi-page PDFs — use the Prev / Next buttons in the PDF preview to navigate pages. Fields on all pages are shown in the mapping table.
- Large datasets — generation is batched so the app stays responsive. A progress bar shows how many PDFs have been written.
Files & Folders
Enter the column letter(s) for each field (e.g. C, AH).
Email Settings
{INVOICE_TO} for the client name and {POLICY} for the policy number.
Additional Attachments (optional)
Files attached to every email — e.g. policy wording documents. At least Outlook must be open when running.
Email Template
Write the email body below. Use the Insert buttons to add placeholders — they are replaced automatically for each client when drafts are created. You can add your logo, signature and custom formatting here.

Missing-document warnings are always added automatically at the top of any email that needs them.

Set up Claims Tracker
Reads the shared mailbox via Microsoft Graph (no Outlook needed) and summarises claims via the Claude API. Each user provides their own credentials, stored encrypted on this machine only — nothing is shared between users.
